Addiction Treatment Center Bookkeeping That Works the A/R Before It Ages Out

Addiction Treatment Center Bookkeeping That Works the A/R Before It Ages Out

Booxmax is a bookkeeping, payroll, and advisory firm.

A treatment center can run full and still lose a meaningful share of what it earned to claims that age out unpaid. The protection is books that show insurance A/R and patient A/R aging by payer, every month, so a slow claim gets worked while it can still be collected. We keep those books.

Earned is not collected, and the gap is large

A treatment center can deliver care, bill it, and never see a meaningful share of the money, because a claim that ages past ninety days has a low chance of ever paying. The revenue you earned sits in an aging report instead of the bank, and most operators cannot say where it stalled. That is why insurance A/R and patient A/R have to be tracked separately, by payer, and aged every month. We keep those buckets in front of you, so a claim stuck at sixty days gets worked before it becomes a claim stuck at ninety.

Census and authorized days are the revenue, before the claim is

Your revenue starts as a daily census against the days each payer actually authorized, and the gap between days delivered and days authorized is unbilled or unbillable care. If that is only reconciled at billing time, the shortfall is already locked in. We keep census and the resulting revenue tracked month to month, so the number you bill matches the days you delivered against the days your payer authorized, as your system records them.

Payroll a clinical program cannot run loosely

A treatment center runs clinical and support staff together, counselors, techs, nurses, intake, kitchen, and house, often around the clock, and labor is the largest cost the program controls. We run payroll for that mixed roster and keep labor visible as a share of revenue, so the biggest number in the building is one you can actually steer.

What we keep, every month

We track days, claims, and dollars, not the clinical record

Bookkeeping works from financial and census data. Your clients’ clinical and treatment records stay in your system, and we do not take them. Substance-use treatment records carry their own confidentiality rules, and we keep our work on the financial side of that line.

What we do, and what we don’t

We are a bookkeeping, payroll, and advisory firm. We do not verify benefits, submit claims, perform utilization review, prepare tax returns, or give legal advice. Verification, billing, and authorization route to your billing team or RCM service. Facility licensing routes to your administrator and your state agency. Income tax routes to your tax preparer. Clinical records stay in your system. We keep the financial numbers underneath.
